POSITION SUMMARY
The Senior Administrative Coordinator for Field Programs provides high level administrative and strategic support for Trust for Public Land’s Managing Director for Field Programs (MD), including special project management, supporting communications and high-level interactions with staff and external stakeholders, coordinating travel and expenses, calendar management, meeting scheduling and planning, and general administrative duties. This position is part of the Field Advisory and Support Team (FAST).
Essential Functions
- Manage the MD’s correspondence; sort email, and compose correspondence (letters, memos, e-mail) on behalf of the MD.
- Coordinate and manage calendar and activities for the Managing Director. Schedule internal and external meetings (both virtual and in-person), calls, and requests for review and approvals for MD.
- Serve as the point of contact for staff, external stakeholders and the public.
- Assist with the preparation of speaking engagements; research, gather materials, and produce PowerPoint presentations.
- Support the MD in special projects, including the creation of organizational systems, supporting department-wide planning and strategy development through coordinating schedules and developing meeting materials
- Support the MD in tracking the status of key work priorities and the contributions of stakeholders across departments
- Participate in Field Team meetings including those with Regional Directors and State Directors
- Support Field team on select projects as directed by the MD
- Actively participate in required staff meetings, convenings and retreats and participate in required virtual staff communications.
- Perform duties required of all staff to support smooth internal operations such as submitting timely expense reports and timesheets when needed
- Other duties as assigned
Qualifications
Three to five years of relevant experience in administrative and organizational support;
Demonstrated ability to use diplomacy and discretion in handling confidential information with tact and professionalism.
Excellent verbal and written communication and interpersonal skills. Demonstrated ability to work well with others including different functional areas within region as well as national departments.
Excellent organizational abilities, attention to detail, promptness and dependability.
Ability to work with a high degree of self-direction and flexibility, especially with respect to taking initiative, prioritizing multiple tasks, and using good judgment to resolve problems.
Excellent computer skills; familiarity with and able to use technology to make processes more efficient. Experience managing remote communications technology such as Microsoft Teams.

Ability to travel nationally two-to-five times per year
COMPENSATION
Trust for Public Land is a hybrid work environment, and this role will ideally be located in Philadelphia or on the East Coast ideally near a Trust for Public Land office. As a full-time employee, you will be eligible for the Trust for Public Land’s comprehensive benefits program which includes medical, dental, and vision insurance, vacation and sick pay plus holidays, a year end office closure, and a 403(b)-retirement plan, currently with up to a 7% company match. We offer competitive salaries commensurate with experience; the anticipated hiring range for this position is $65,000-75,000.
