Administrative Project Coordinator - Federal Relations

Position Summary:

The Administrative Project Coordinator at Trust for Public Land (TPL) provides project coordination support for the Federal Relations Team and high-level administrative support for the Vice President for Government Relations and Policy. This role includes project and calendar management, coordinating travel and expenses, supporting communications and interactions with staff and external stakeholders, meeting scheduling and planning, and general administrative duties. The ideal candidate for this role will bring initiative and strong problem-solving and organizational skills to the Federal Relations team. 

Essential Functions:

Project Coordination and Management (75%) 
  • Participate in team meetings; create and distribute agendas, and meeting summaries as needed. 
  • Track and coordinate successful completion of action items. 
  • Assist with the preparation and execution of important team events, including external and internal meetings and speaking engagements. 
  • Assist in creating and maintaining relevant tracking systems, processes, and project schedules for team priorities. 
  • Evaluate potential problems, risks, and roadblocks and develop solutions. 
  • Acts as a liaison for the Federal Affairs team with other TPL teams and external stakeholders. 
  • Conduct research, gather materials, and produce PowerPoint presentations, two-pagers, and other communications collateral in support of team policy priorities. 
  • Support the team as directed, including in office management operations. 
 
Administrative Support (25%)  
  • Arrange VP’s travel schedules; prepare reservations and itineraries 
  • Communicate and coordinate with staff on behalf of the VP, as needed 
  • Manage administrative tasks, including timesheets, subscriptions, contracts, and expense reimbursements 

Qualifications:
  • Minimum 2 years' experience in administrative and organizational support, with experience supporting upper management and executing project coordination. 
  • A commitment to protecting public lands, creating equitable access to quality parks and schoolyards, and to the communities they serve.  Interest in policy and government relations as tools to create better lives for people.   
  • Excellent written and oral communication skills.  
  • Demonstrated ability to work well with others, across a diverse array of internal and external stakeholders. 
  • Ability to maintain a high level of confidentiality. 
  • Excellent organizational abilities, attention to detail, promptness and dependability. 
  • Able to work with a high degree of self-direction and flexibility, especially with respect to taking initiative, prioritizing multiple tasks, and using good judgment to resolve problems. 
  • Computer proficiency in Microsoft Word, Excel, and PowerPoint is required, plus proficiency in web research tools. 
  • Project management experience and time-management skills for juggling numerous time-sensitive projects simultaneously. Being familiar with project management software is also an asset.

Compensation:
Trust for Public Land is a hybrid work environment, and this role will be located in our Washington DC office with a hybrid work schedule. As a full-time employee, you will be eligible for the Trust for Public Land’s comprehensive benefits program which includes medical, dental, and vision insurance, vacation and sick pay plus holidays, a year end office closure, and a 403(b)-retirement plan, currently with up to a 7% company match. We offer competitive salaries commensurate with experience; the anticipated hiring range for this position is $60,000-65,000.  In addition, Trust for Public Land offers locality pay to eligible regular employees in select geographic areas.
