Research and Innovation Administrative Coordinator

The Research and Innovation Administrative Coordinator is an integral team member that ensures the efficient operation of the Santa Fe Office and Research and Innovation team as the Trust for Public Land carries out its mission, programs and conservation services. The person in this position performs, necessary organizational, administrative and support responsibilities. The successful candidate will combine an interest in nonprofit operations and a background in administrative support. 

This is a 20 hour a week position -  the schedule will be established in coordination with the new hire, but needs to be consistent week to week.

ESSENTIAL FUNCTIONS (85%):
  • Provide administrative support to the GIS Director, including, but not limited to organizing meetings and conference calls plus preparing printed materials as needed
  • Assist with Directors’ travel schedule; prepare reservations and itineraries.  Ensure that travel arrangements and accommodations for occasional visitors are in place.
  • Assist GIS Director in preparing PowerPoint presentations, correspondence, reports, internal processing, etc. associated with programmatic work.
  • Assist with the preparation of speaking engagements; research, gather materials, and produce PowerPoint presentations.
  • Manage/assist with general account payable/receivable functions which includes check requests and preparing expense reports
  • Create and maintain files for the GIS program
  • Serve as the first point of contact for visitors and callers in Santa Fe and for general public inquiries.
  • Order and maintain supplies, equipment, and work with related vendors.
  • Organize office calendar, meetings, and conference calls
  • Act as main point of contact for IT needs
  • Create and maintain processes for the improved efficiency of the office
  • Create and maintain files and records for the office
  • Assist in onboarding of new staff
  • Provide administrative support to the Research and Innovation team, including, but not limited to organizing meetings and conference calls plus preparing printed materials as needed.
  • Assist in preparing PowerPoint presentations, correspondence, reports, internal processing, etc.
  • Manage the Santa Fe office which includes ordering supplies, assisting with office and catering needs
  • Manage general NM, AZ, UT and GIS.support emails

DATABASE AND APPLICATION SUPPORT (15%)
  • Weekly story map checkup (30 min/week)
  • Canopy maintenance for the Research and Innovation team
  • Closings database monthly maintenance (PROTECT/CREATE)
  • Closings map updates (quarterly)
  • New Active Projects maintenance
 
QUALIFICATIONS:
  • 2+ more years of support/administrative experience.
  • Excellent oral and written communication skills reflecting solid customer service in person and via the telephone and email.
  • Experience coordinating cross-functional teams
  • Ability to balance customer expectations with project reality.
  • Must be creative, self-reliant and skilled at managing a diverse and heavy workload in an occasionally ambiguous work environment
  • Proficient in computer applications.  MS Office Basics, Project Management Databases including Quickbase, knowledge of GIS software, Outlook, visual presentations, data entry and spreadsheets.
  • Excellent organizational abilities, attention to detail, promptness, dependability, and discretion with sensitive and confidential information.
