Administrative Coordinator - HR Department

Location: San Francisco, California

This position works in close collaboration with the interim HR Director to work on process improvement efforts and to provide general support to the 6 members of the organization's HR team. The Coordinator manages project tracking, streamlines communications and acts as general administrative and organizational support for the HR Department.

This position is a 6 month temporary position (hourly/no benefits) with potential for extension or conversion to regular status.  This position is expected to start in January 2018.

General HR Duties (30%)
  • Project Coordination in support of HR  projects (e.g. Diversity/Equity/Inclusion, workforce planning, annual awards, recruitment process improvement, etc.) Support interim HR director with meeting minutes, project tracking and follow up.
  • Supports departmental process improvement efforts including but not limited to researching best practices, supporting project management efforts, and implementation.
  • Works with HR team on relevant internal communications efforts (e-mails, intranet, talking points for directors,  etc.) Includes researching and drafting communications.
  • May help with logistics for new hire orientations, HR team meetings, meetings with leadership, trainings/workshops, webinars, etc.
  • Creates and maintains files and other organizational systems. 
  • Supports efforts to update HR policies and procedures – updating documents, ensuring the consistent look and feel, posting updates to the intranet, etc.
  • Performs research and fact gathering and miscellaneous duties as assigned.
 
Recruitment Support (30%)
  • Posts jobs to TPL.org and other assigned job boards for the HR team. Researches appropriate job boards for HR team and provides recommendations, maintains list of recommended job boards.
  • Provide logistical support for interviews: setting up interviews and sending confirmation e-mails, videoconferencing, helping with reference check process, etc.
  • Responding to general e-mail inbox for job inquiries.
  • Supports new hire orientation logistics planning
  • Supports efforts to research and implement best practices in recruitment
  • Supports efforts to expand partnerships with universities and associations for internship and fellowship opportunities.
  • Maintains listing of currrent vacancies and their status
 
HR Database Administration (15%)
  • Audits payroll data entry by HR staff, works with HR coordinator and Payroll to address discrepancies
  • Run basic reports, perform basic data manipulation or analysis on an as needed basis.
  • Regularly updates the HR database and administers paperwork for personnel changes (Supervisor changes, new hires, benefits, terminations, etc.).
  • General database work as needed – data entry, data cleanup, etc.
 
QUALIFICATIONS:
  • Minimum 2  years of relevant experience.
  • High school diploma and AA or AS (2-year college degree) required; 4 year degree preferred
  • Excellent organizational abilities; able to prioritize multiple tasks; strong attention to detail.
  • High degree of initiative, political astuteness, discretion and good judgment. Ability to be professional in verbal and written communications with multiple constituencies. Able to handle confidential matters with the highest degree of discretion and tact.
  • Experience coordinating work across a distributed organization - with other employees, departments and external organizations.
  • Experience with the recruitment process required.
  • Knowledge of latest PC software programs for word processing, calendaring and data entry. Word, Powerpoint and Excel required.
  • Demonstrated analytical and critical thinking skills.
  • Demonstrated interest in environmentalism and/or conservation helpful.
